You’re not behind on AI.

I need you to hear that. You’re not late. You haven’t missed some magical window. And you definitely don’t need to panic-subscribe to fourteen different tools because some guy on LinkedIn told you AI is “eating the world.”

Here’s what’s actually happening: most entrepreneurs are drowning in AI options while getting zero results. They’ve got subscriptions to everything and they’re STILL spending hours on content that sounds like it was written by a robot having an identity crisis.

Meanwhile, I’m running a 7-figure business in about 25 hours a week. I spent a year living in the south of France with my family while my business kept growing. And yes, AI is a huge part of how that works.

But it’s not about having MORE AI tools. It’s about having the RIGHT ones.

I’ve tested probably 50+ AI tools over the past two years. Want to know how many made it into my actual daily rotation? About seven.

Here’s my tried-and-tested list—the tools I actually use, not the ones I signed up for once and forgot about.

Claude

This is my primary everything.

I use Claude as my AI platform of choice for all writing and business operations. Content creation, strategic thinking, brainstorming, drafting emails, outlining courses, writing sales pages—Claude handles it all.

Plus with “Skills”, their Cowork feature, Claude Code, and more on the horizon, I feel super aligned with this platform and where it’s headed. I also love that they have promised to remain an ad-free LLM. 

Here’s why I’ve migrated almost entirely to Claude:

Long-form content is incredible. Blog posts, sales pages, course scripts, launch emails—Claude maintains voice and quality over thousands of words without losing the thread.

It actually follows brand voice instructions. When I upload my Brand Book and give Claude specific voice guidelines, the output sounds remarkably close to how I actually write. Less editing = more time for living my life.

Claude Skills are a game-changer. They act at the organizational level, not silo’d in custom GPTs, so they are referenced anytime they’re needed.

Nuanced thinking. For strategic content where psychology matters Claude seems to “get it” in a way other tools don’t.

If you only use one AI tool, make it this one.

ChatGPT (Specifically for sharing Custom GPTs)

I still have ChatGPT, but I only use it for one specific thing: building and sharing Custom GPTs.

Custom GPTs let you create AI assistants trained on your specific voice and methodology. The magic is that you can share them publicly or with your clients or students.

If you need to create AI assistants that other people will use (team members, students, clients), ChatGPT’s Custom GPTs are the way to do it. That’s where it shines.

For my own daily work? I’m in Claude.

Notion (With AI)

Notion’s built-in AI capabilities have completely changed how fast I can build things.

SOPs, project plans, content calendars, meeting notes, course outlines—anything that lives in a document can now be created SO much faster with Notion AI.

Anything I generate in Claude can be pulled into Notion. It dumps hundreds of social media posts in seconds into my databases, all of our content calendars, action items, and projects are in there. I’m obsessed with using this as my business homebase.

If you’re already using Notion (or thinking about it), turn on the AI features. The speed boost is real.

Zapier (With AI Features)

Zapier has always been the backbone of my automations—connecting tools, triggering workflows, making things happen without me.

But their AI features have taken it to another level.

I’ve built AI chatbots using Zapier that handle student support questions 24/7. Students get instant help, and my team focuses on complex issues that actually need a human touch.

The AI integrations also let you add smart decision-making into your automations. It’s not just “if this, then that” anymore—it’s “if this, think about it, then do the smart thing.”

If you want simpler automation, Make (formerly Integromat) is a solid alternative. But for AI-powered workflows, Zapier is where I live.

MindPal

MindPal is exciting.

This is for building “agentic” workflows where AI takes actions and completes multi-step processes. Think: research a topic, summarize findings, draft content, AND format it for publishing—all in one automated flow.

I find it more intuitive and user-friendly than other automation tools for this kind of work. If you’re ready to move beyond basic AI chat into AI that runs actual processes in your business, MindPal is worth exploring.

Gamma

Slide decks used to be the bane of my existence. Gamma changed that.

You give it your content or outline, and it creates beautiful, professional presentations in minutes. Not the ugly, template-looking slides you’d expect from AI—actually good-looking decks.

I use it for workshop slides, pitch decks, and anytime I need to present information visually without spending hours in Canva or PowerPoint.

If you create any kind of presentations for your business, Gamma will save you serious time.

And if you connect it with Claude, you can write your slides in Claude and tell it to push to Gamma for auto-creating your slide deck. SO GOOD.

Descript

If you do podcasting or video content, Descript is non-negotiable.

The AI-powered editing features are incredible. You edit audio and video by editing the transcript—delete a word from the text, and it removes it from the recording. The “studio sound” feature makes any audio sound professionally recorded. 🤌

It will cut down on editing time dramatically.

Nano Banana (Google’s Image Generator)

For image generation, I’ve been using Nano Banana, Google’s AI image tool built into Gemini and AI Studio.

The quality is incredible. It understands context and complex prompts better than most image generators I’ve tried. You can generate images, edit existing photos, and even add accurate text to visuals (which most AI image tools struggle with).

It’s become my go-to when I need visuals for content, social, or presentations.

WisprFlow

If you’re into using voice, I’m obsessed with WisprFlow.

I’m using voice to dictate everything these days and it’s so much faster. There’s a bit of a learning curve getting used to it, but once you’ve started, it’s hard to go back to typing.

The Tools I’ve Stopped Paying For

Just as important as what I use is what I’ve cut:

  • Multiple AI writing tools that were just wrappers around the same technology
  • Specialized “AI copywriting” subscriptions I never opened
  • Extra image generation tools (I consolidated to one)
  • Random micro-tools that promised magic and delivered nothing

The biggest realization? Most AI tools are built on the same underlying technology. You don’t need ten different subscriptions—you need to get really good at using a few.

How to Choose YOUR Tools

The best AI tool for you depends on what’s eating your time right now.

If content is your bottleneck: Start with Claude. Go deep. Learn it well.

If operations is killing you: Start with Zapier or MindPal for automations.

If you need to share AI assistants with others: ChatGPT’s Custom GPTs are your answer. If you want it more protected, build it as a Zapier chatbot and embed into your LMS.

If you live in documents and project management: Turn on Notion AI.

If you create presentations: Get Gamma immediately.

If you do audio/video: Descript will change your life.

Pick ONE area, choose ONE tool, and give it 30 days of consistent use before adding more.

The entrepreneurs winning with AI aren’t the ones using the most tools. They’re the ones who’ve gone deep with the right ones.
